Duty equipment expiration tracking for police departments
Liability starts the day expired equipment leaves the armory. APB360 surfaces upcoming expirations months early, so procurement, armorers and supervisors can replace gear before it reaches the street.
Every item on a clock, on one roster
Each guide below covers the policy and liability side; APB360 is the system that enforces it across every officer, vehicle and location.
Body armor
Vest expiration, replacement policy and enforcement across a full agency roster.
Body armor guideOC spray
Shelf life, propellant pressure loss and canister-level accountability.
OC spray guideNarcan (naloxone)
Patrol-vehicle heat and cold exposure, replacement policy and kit tracking.
Narcan guideTASER / CEW
Service life, spark test cadence, cartridge expiration and reconciliation.
TASER guideHow APB360 keeps you ahead of every date
- Thresholds per asset type — expiration or inspection thresholds on body armor, less-lethal, radios, certifications and custom categories
- Alerts months ahead — SMS and email notifications based on your policies and timelines
- Inspection and repair history — linked to each asset
- Self-certification with photo evidence — keeps records current between formal audits
- An inventory expiration report — paged, sorted and searched on the server, and usable on a phone
Return flags for counted items
OC spray, batteries, body armor and other items you count rather than serialize can be flagged for return with a due date and a note. Flags show in red on the officer’s profile, are listed on Manage Inventory Alerts with overdue items in red, export to Excel, CSV or PDF, and stay until someone clears them.
The paperwork travels with the item
Each non-serialized item records purchase and received dates, warranty end date, vendor, invoice and PO numbers, funding source or account, and internal asset tag. Safety data sheets, certificates of conformance and warranty papers are stored on the item itself, in your organization’s private storage.
Training tied to the equipment
A TASER or other less-lethal tool in the hands of someone without current training is its own risk. Because APB360 keeps training and inventory together, it can alarm when an officer holds equipment without the training your policy requires.
Expiration tracking FAQ
Which equipment can APB360 track expiration for?
Body armor, firearms, less-lethal devices, radios, certifications and custom asset categories you define, both serialized and non-serialized.
How far ahead do expiration alerts arrive?
You set the thresholds. APB360 sends SMS and email notifications on the timeline your policy calls for, so replacements can be ordered and issued months before end-of-life.
Can we ask one officer to return OC spray without flagging everyone?
Yes. A return flag belongs to one employee’s units of an item, so flagging one officer never flags everyone else who drew from the same lot, and their assignment date is untouched.
